Position Title: Work Administrator

Job Description:

JD is a sports fashion, multichannel retailer of branded sports and casual wear, combining globally recognised brands such as Nike, adidas, Puma and The North Face, with strong own brand labels such as Pink Soda and Supply & Demand to provide an elevated consumer experience.

Responsibilities:

  • Assisting the HR and Reward team with ad-hoc administration duties as required.
  • Answering phone calls and resolving queries raised by stores / colleagues.
  • Ensuring that all employees are eligible work in the UK (or respective locations) and that the position offered is compliant with the conditions of any visas issued.
  • Preparing and issuing communications to individuals regarding right to work status, follow up actions and deadlines.
  • Generate reports to monitor expiring documents and liaising with individual colleagues to obtain updated documents/permissions.
  • To undertake any other reasonable duties based on business requirements.
  • Responsible for the onboarding, maintenance and updating of personnel records for Employees.
  • Liaise with the Reward team, the HR Advice team and line managers on progressing queries to a timely resolution.
  • Provide guidance to recruitment and management teams on resolving Right to Work queries and advising on best practice in line with company procedures.
  • Provide Managers with advice in relation to the relevant documents required for new employees and assist with enquiries in relation to the functionality of JD4U (the Company’s HR and Payroll System).

Requirements:

  • Have an awareness of GDPR and able to act with absolute discretion and treat sensitive information relating to individuals, and their pay, confidentially.
  • Strong communication skills both written and verbal.
  • High level of attention to detail with superb administrative and organisational ability.
  • Previous experience of processing Right to Work checks and handling related information.
  • Timely & accurate processing of RTW queries.
  • Able to organise their workload, and work under pressure and to deadlines.
  • Good working knowledge of Microsoft Office: Word, Excel, PowerPoint, SharePoint, Teams.
  • Confident, courteous and diplomatic in dealing with internal and external contacts.
  • Understanding of Home Office share codes and experience using the employer checking service to verify Right to Work.
