Position Title: Community Outreach Coordinator

Job Description:

This position is responsible for fielding constituent questions, concerns and requests for support from the City of Burlington. They should show commitment to creating a warm, welcoming, inclusive and informative experience for the entire community, whether over the phone or by email, especially for those facing financial hardships and access barriers. Second, this role will serve as a primary point of contact to provide information and assist with outreach for various opportunity programs. Finally, they will undertake administrative duties to support the Opportunity and Engagement team, including occasionally covering the responsibilities to staff CEDO’s third floor reception of City Hall.

Responsibilities:

  • Facilitate communication and with other City Departments and direct community queries appropriately.
  • Update and/or maintain records manually or by computer as required.
  • Assist department staff with special projects.
  • Provide research support for department staff as requested.
  • Performs other clerical duties as needed such as filing, shredding, photocopying and collating.
  • Perform routine mathematical calculations as required by functional assignment.
  • Responding to constituents’ needs in an encouraging and supportive way as part of the recovery effort, with many people seeking assistance programs for the first time (ie. Asking for food or housing).
  • Ensure that requests for information and action are properly logged in the municipal constituent software system.
  • Greet visitors, answer telephone inquiries, provide routine information and/or route calls to appropriate individuals or organizations.
  • Provide administrative support to coordinate opportunity and engagement activities, such as the My Brother’s Keeper, My Sister’s Keeper (MBK/MSK), as required.
  • Provide support to the Neighborhood Planning Assemblies (NPAs) as required.
  • Provide administrative support for the department staff, including work with public boards, committees and events as requested. This support includes, but is not limited to, circulate agendas; schedule meetings and meeting space; warn meetings; record, transcribe and distribute minutes; assure follow-through to meeting issues; maintain records and files; assist in developing and disseminating outreach materials, publicity and signage plans.
  • Communicating with constituents via interpreters either virtually or in person, in accordance with the City’s Language Access Policy and the Vermont Human
  • Rights Commission Guideline on Language Access.
  • Manage constituent requests and foster a warm, welcoming, and informative experience for visitors by phone or email.
  • Respond to email communications as directed.
  • Serve as the department’s primary contact to carry out the City’s Language Access Plan.
  • Update various department data reports with information received.
  • Occasionally cover for the Community Engagement Office Assistant to staff CEDO’s third floor reception of City Hall.

  • Proficiency in Word, Excel, PowerPoint and Adobe Acrobat required.
  • Completion of a Bachelor’s Degree and one year of experience; or an Associate’s Degree and three years’ experience; or a high school diploma or equivalent and five years’ experience in an office or customer service environment.
  • Knowledge of local community resources, partners, and organizations or willingness to learn.
  • Must adapt to changing job duties and be able to multi-task.
  • Ability to plan, organize and coordinate workload of self and subordinate(s).
  • Interest in contributing to the City of Burlington, and improving the quality and effectiveness of governmental services.
  • Occasionally participate in evening public meetings.
  • Ability to apply tact and discretion in addressing controversial and emotionally charged issues.
  • Ability to interact professionally, and to establish and maintain positive relations with co-workers, supervisor, staff, public officials, general public, and other departments.
  • Some evening work required to attend public meetings to take minutes (approx. two evenings per month).
  • Computer proficiency in word processing, spreadsheets, database, web and desktop publishing applications required.
  • Demonstrated commitment to diversity, equity and inclusion as evidenced by ongoing trainings and professional development.
  • Ability to display excellent verbal and written communication skills.
