Position Title:Administrative Assistant

Job Description:

This is a clerical/administrative staff position, which involves complex work methods and problems. Work involves performing frontline customer service and a variety of clerical functions, which requires the application of judgment in the interpretation of policies, procedures and regulations, along with spreadsheet preparation, report production, and various research projects. Work is performed under the general supervision of the Deputy Director of H.R. and indirect supervision from the H.R. Benefits Coordinator.

Responsibilities:

  • Prepares departmental invoices for authorization.
  • Maintains regular punctual and predictable attendance, works overtime and extra hours as required.
  • Performs duties associated with the application-tracking database for seasonal and summer hiring processes.
  • Prepares procurement card budget allocation.
  • Sorts and delivers departmental mail.
  • Assists staff in a number of complex projects.
  • Provides customer service to internal and external individuals on the telephone and front desk.
  • Makes the appropriate referrals when necessary.
  • Performs clerical functions for professional staff members.
  • Types, edits and designs a wide variety of correspondence.
  • Preparation and clean up of training rooms.
  • Assists in preparation and coordination of training classes.
  • Files information in employees’ personnel, confidential and medical files.
  • Performs technical project related activity including typing minutes, creating technical diagrams, creating time lines and scheduling meetings.
  • Schedules training rooms and creates training calendar for distribution.
  • Assists with maintaining well organized supplies and equipment storage.
  • Manages the city-wide training database (create classes, schedule and record attendance, run rosters, quarterly reports).

Requirements:

  • Fills in for Recruitment Assistant when needed.
  • Performs other duties when assigned.
  • Coordinates annual audiometric and spirometry testing (work with City Safety Coordinator and vendor)
  • Performs duties of other clerical staff in the department as needed.
  • Prepares the monthly safety newsletter.
  • Prepares Workman’s Compensation reports.
  • Enter Certificate of Insurance into Metafile system.
  • Prepares Certificate of Insurance follow up letters.
